If you're an academy owner doing the math on phone coverage, you're choosing between three options: hire an admin, pay a traditional answering service, or use an AI voice receptionist. They look similar — someone picks up when you can't — but the costs, tradeoffs, and fine print are wildly different. Here are the real numbers for an academy, with every estimate labeled, and an honest verdict on where each wins.

What an AI voice receptionist actually does: it answers your academy's existing line around the clock, greets callers in your academy's name, answers routine questions (age groups, fees, schedules, directions), books trials into your real calendar, texts back anyone it can't serve, and sends you an instant summary of every call. A decent system checks real calendar availability, escalates complications instead of guessing, and never invents answers. VoiceAI Smile: $297/month flat, 14-day free pilot, no card required.

Option 1: hire an admin — still the gold standard for warmth and judgment: greeting parents at the ground, handling registrations, knowing every family by name. But the salary on the job ad isn't the cost: ~$15–$20/hour becomes ~$31,000–$42,000/year base [ESTIMATE], and taxes plus benefits add ~20–30%, so realistically ~$2,800–$4,500/month all-in for one shift [ESTIMATE]. One person covers ~40 hours a week — evenings, weekends, sick days are still gaps, and true 24/7 coverage needs four people.

Option 2: a traditional answering service — human agents in a call center follow your script, 24/7. Entry plans often start around $150–$300/month for a small bundle of minutes, with overage billed per minute — a busy academy easily lands at $300–$600/month [ESTIMATE]. The fine print: costs scale with every call, agent quality varies, message relay can lag hours, and most are message-takers, not trial-bookers.

Option 3: AI — $297/month flat, no per-minute billing, every call, every minute. Truly 24/7/365 with unlimited simultaneous calls: ten parents at once get ten instant answers, never a busy signal. It books into your real calendar, its missed-call text-back firing within seconds for missed callers, and sends a call summary after every conversation. The honest limits: it's not a person — sensitive or judgment calls escalate to your team.

When hiring still wins: if your academy's value comes from in-person warmth — parents at the ground daily, relationships with every family — a great human admin is worth the money. AI is coverage for the hours nobody's there, not a replacement for the person parents love. AI wins when you're missing evening and weekend calls or per-minute bills keep climbing. Many academies use both: humans by day, AI for nights, weekends, and overflow. Hear it like a parent would: +1 (659) 399-0158 — 14-day free pilot, no card, month-to-month — or voiceaismile@gmail.com.
